Double-Sided LED Sign – 16' x 94.5"

1. INTRODUCTION

Wexford Missaukee ISD is soliciting proposals from qualified vendors for the provision and installation of a double-sided LED sign with approximate dimensions of 16 feet wide by 94.5 inches high. This sign will serve as a primary means of communication with students, parents, and the community.

2. SCOPE OF WORK

The successful bidder shall provide a turnkey solution, including but not limited to:

- Design, fabrication, delivery, and installation of a double-sided, full-color LED sign with dimensions of 16 feet (W) x 94.5 inches (H).

- All structural supports, enclosures, and hardware necessary for safe and durable installation.

- Electrical connections and integration with existing infrastructure.

- Control software and training for designated staff.

- Permitting assistance (if needed) and compliance with local codes and ordinances.

- Warranty and post-installation support.

3. SPECIFICATIONS

- Display Type: Double-sided, full-color, programmable LED.

- Pixel Pitch: Minimum 10mm (preferred 8mm).

- Viewing Angle: Wide viewing angle suitable for drive-by visibility.

- Brightness: High brightness suitable for daylight visibility with auto-dimming for night operation.

- Connectivity: Wireless or hardwired network connectivity.

- Durability: Weatherproof and rated for outdoor use in all Michigan seasons.

- Control Software: User-friendly software compatible with Windows-based systems.

- Mounting: Pole or monument mount (please specify options and pricing).

- Power: 120/240V AC; vendor to confirm exact requirements.

5. PROPOSAL REQUIREMENTS

Each proposal must include:

- Detailed description of the proposed sign system (make, model, dimensions, etc.).

- Itemized cost breakdown (materials, labor, installation, etc.).

- Timeline from award to completion.

- Warranty details.

- Examples of similar installations.

- References from at least three recent projects of similar size and scope.

- Proof of insurance and any necessary licenses or certifications.

6. EVALUATION CRITERIA

Proposals will be evaluated based on the following:

- Cost competitiveness

- Quality and features of proposed sign

- Vendor experience and references

- Warranty and support offerings

- Timeline and project approach

8. TERMS & CONDITIONS

- The district reserves the right to reject any or all proposals and to waive informalities in the proposal process.

- The selected vendor will enter into a written agreement with Wexford Missaukee ISD. We expect to award the bid at the board of education meeting on Monday, September 15, 2025 and notify the winning bidder by Friday, September 19.

- All proposals shall remain valid for a period of 60 days.
